Lost your SSC/HSC marksheet or passing certificate?

 If you live in Mumbai and have studied here, there are chances that sometimes, you may find that you've lost or misplaced your original documents and are unable to get them back. Especially your SSC or HSC marksheet or passing certificate, which are essential to prove that you have atleast cleared school and junior college.
So what do you do now? You can apply for a duplicate copy of your marksheet or passing certificate by going to the Maharashtra State Board's Mumbai office at Vashi, Navi Mumbai.

What you need for application:

Marksheet: An application form, available for Rs.2 at the office
Passing certificate: Application form + a letter from the school/college (having the student's name, seat no. and year of passing) stating that the student has lost his passing certificate and should be allowed to get a duplicate copy

Charges: 

Normal: 

Rs. 100 for each marksheet/certificate less than 10 years old (issued after 15 days of application)
Rs. 200 for marksheets/certificates more than 10 years old (issued after 15 days of application)

Urgent: Rs. 200 (issued after 4 days of application)

If available, carry a xerox copy of the marksheet or certificate.
After you pay the charges, you will be given a receipt stating the details of your application.

Timings: 10.30 am to 3 pm (Saturday and Sunday closed)

What to do after reaching there: Go to counter no. 2 which is on first level. There are two separate queues for collecting the form and paying the money. Enquire at the counter (NOT with the people in the queue!) about the appropriate queue.

How to reach (from Mumbai suburbs):

Train: Borivali - Dadar - Thane - Vashi. If you have a Java enabled mobile phone or smartphone, download an app called 'm-Indicator' from http://m-indicator.mobond.com/ It contains the detailed train timings and schedule. It takes more than 2 hours to reach Vashi station from Borivali (assuming that you get all the trains on time) and a few minutes to reach Shivaji Chowk from the station by share auto.

Bus: There are normal as well as AC buses from Borivali and Santacruz that go to APMC market, Vashi which is almost the same as Shivaji Chowk. It takes 2 hours for the bus from Santacruz Depot to reach the spot. I do not have much idea about the others.

What to do after you applied: Go to the office again after the number of days specified in your receipt. The marksheet/certificate will be issued between 2.30 pm to 5 pm on working days.

  6. Buddy, Im in Dubai and has lost my 12th certificate somewhere here. Could it be possible for me to complete the whole procedure and get my duplicate certificate from university within 1 week as i wud b coming on leave.     1. Have you lost your marksheet? As I mentioned in the post, you can get your duplicate within 4 days if you pay Rs. 200. I believe it should be possible for somebody to go on your behalf.

    1. The most important field is your seat number. Apart from that, the year in which you gave your exam, your school's name, address, your details and other usual things are to be filled.

    1. As mentioned in my reply to the comment above, affidavit or FIR will not be needed. Yes, cash payment is accepted, and I believe is the only mode of payment.

  14. Incase a student has lost his mark-sheet and passing certificate, he needs to mention that he has lost both his mark sheet and passing certificate in the Affidavit, else they may create issues.

    Don't have a format for the Affidavit, though a format for the letter to be given to the school/ college is given below:

    1. Hi there. Having your seat number is essential for the process. However, if you don't have that too, you can have a word with the Board officials. There will surely be some way to help you out. You can call them up and see if they address your problem, and if not, go there directly.

    1. No idea. You'll have to search on the internet regarding which board Sindhudurg falls into, and then accordingly search the address of the divisional board's office.

  17. I had been there today. The office is open monday to friday (except bank holidays) and is also open on the 1st and 3rd saturday of the month from 10.30am to 3pm. You have to go tou your school from which u passed ur ssc/hsc exam. Ask them to give u a letter to apply for the duplicate marksheet/passing certificate. It will be great if u have ur hall ticket xerox or school leaving certificate so that the school can process it quickly. My school charged me 25 rupees for issuing the letter. After getting the letter from the school, u need to go to an advocate/lawyer and ask them to make an affidavit on a 100 rupees stamp paper and make sure they mention ur name, residential address, reason for applying for a duplicate marksheet and the most important theing ur seat number which is mentioned on ur hallticket. These are the only two original documents required (letter from school and an affidavit) After u reach the board office in vashi, make sure u reach at 10.30am, they dont open the counter before that. Ask the watchman at the gate the way to counter no. 2, go to counter no. 2(b) first, ask them for the form, the charge is 2 rupees. Fill it up. and staple the form with the letter from school and the affidavit. (the staplers are hanged on the window grill of the counter no. 2) and then give it to the person on the counter no. 2 (a) (counter no. 2(a) and 2(b) are next to each other) Its ur choice of how many days u want to wait for the marksheet, if u want to wait 15 working days then pay 100 rupees, if u want the marksheet in 4 working days then pay 200 rupees. After paying, take the receipt from them and keep it safely. And then after 4 or 15 working days go and collect ur marksheet between 2.30-5pm. It is always better to keep a xerox of the school letter and affidavit for ur reference.

      First of all - thanks a lot Ameya for posting this extremely informative article (something that the board should have done ideally :) )

      Secondly, I have also lost my passing certificate, but I have my marksheet. My parents are hellbent upon getting a duplicate, but I do not understand why! I am working now and has never needed the passing certificate. If you can name some instances where the passing certificate is useful/required - It would be extremely helpful. Otherwise I will not apply for a duplicate.

    6. Hi Sairam,

      Well, you might need the passing certificate if you go for a post graduation course. Also, in case of corporate sector, some companies have policies where they demand the passing certificate. Its better to have it in advance, otherwise you might face trouble at the last moment.

    I have gone through you post and the comments.. Its really helpful..Just few questions ... 1) In all this, there is no need to go to the University of Mumbai, right ??
    2) And is there any way I can get the telephone no of the Vashi office. I stay at Andheri and want to ensure that I take all the possible relevant docs and not make a 2nd trip...

    2. You must go to ur school/college first and ask them to give u in writing that u have passed from their institute and that u have misplaced and require a duplicate copy. If possible take ur hallticket as that has all the information of u, ur seat number etc. Then after taking the letter from school u need to go to an advocate and ask him to make an affidavit on a stamp paper with all the details mentioned in the letter by school/college. keep a xerox of affidavit and school letter for ur reference and submit the originals at the vashi office.

    My case is a bit different. I had submitted my HSC marksheet in college in 2003 and had to unfortunately leave the college due to personal reasons. I have now decided to go ahead and complete my education. Do you think that the college may still have my marksheet with them as I have heard that they have to keep the marksheet for 10 years as per the law.

    Kindly let me know if you are aware of this process as it will help me greatly.

    1. Well, I'm not aware of this, and 2003 is quite long ago. But, if you still live in the same city, you can try your luck. Else, you always have the option of getting a duplicate marksheet.

    2. Hey Ameya, thanks for posting your blog which has been instrumental in helping all. In my case, I went to my college, submitted an application on saturday,the person at the counter told me to come on Monday-Tuesday. I knew it won't happen on Monday so went on Tuesday. The guy asked me to sign a register, then gave me my marksheet and passing certificate so am really happy. :)

      Now, any idea if I wish to pursue graduation, do I need any other documents from the college before enrolling in distance education??

    1. Its true that you need the seat number for both marksheet and passing certificate. Go to your school or college and ask if they have any record about that. As records are computerized now-a-days, there is a chance that they might have this entry.

      Also, in case it hasn't been too many years since you passed, they might even have the xerox copies of your marksheet or certificate which you submitted at the time of admission. I'm not sure on this, but try.

    3. I know this might sound out but you can see if you have your roll number with you and then contact the school for further info. Another option is to check with your friends from school who are aware of your number or if any of them had a number after or before you in HSC.

  29. I have also lost my certificates, my college has given me letter but the school is telling me to come after SSC exam which is starting from 5th of March I guess till 25 or 28th march 2013.
    Now the problem is I have to show my original certificates in my new company on this 18th march 2013. Should I go to the university & apply for HSC mark sheet and Passing certificate duplicate copy and later when my school gives me the letter I will go again to the university and apply for SSC passing & mark sheet duplicate copy.

    Only my concern is they (MU) should not ask me again for original copy of Affidavit and FIR. Please suggest

      SSC and HSC certificates are not related to MU, they're related to the Board. Yes, you should get whatever you can get right now, and then go for the SSC certificate later. FIR should not be needed, just the affidavit. If you are applying for two different things then make two affidavits.

    I hv submitted my hsc marksheet in 2009 2 persue fybcom in college, umfortunately I discontinued my studies so the markshet still remains with college. I hv been 2 my college to collect d marshet but dey say the markshet is in university nd inorder to collect I must provide dem with roll no.

    1. Hi Aasim,

      Even considering both 1 and 2, you will anyways need your roll number. You can ask your college authorities if they maintain a record of students and their roll numbers(they must be having them in some file in the clutter). An application for duplicate copy of marksheet needs the roll number as the bare minimum.

    Now i'm going to apply for duplicates.

    Since i hav lost three documents, do i need three separate affidavits???

    Firstly really appreciate the info you gathered here..Secondly guys you should know that if you have passed out of 12th and haven't collected the originals from the college all you need to do is go back to the college writer a letter to the principal and they should be able to hand over the originals to you...:)

  38. Hey Ameya, I think what you've done here is help a lot many people than u really realise on their dilemmas....Kudos to that,

    I have gone ahead and lost the whole pile - SSC, HSC, Graduation, Hall tickets, certificates, convocation, post graduation certifications....the works !!!

    and just realised it's no laughing matter....when my son lost an opp to get into a good school just cause i don't have docs to support my application for his school...

    I've shrugged corporates who demanded my certificates and have laughed my way working with some big international names. but now no more...and if u can assist in my endeavours...it's would be a huge deal...cause it's not just the school marksheets / but my graduations certification too !

      Now losing ALL documents is the worst thing that I can imagine :D I keep all certificates in one place, and I've many times wondered what will happen if all of them are lost.

      For graduation docs(marksheet, convocation), if you graduated from Mumbai University, you will have to go to M.J. Phule Bhavan in its Kalina campus. I don't have an idea of what all will be needed, so you'll have to go multiple times for enquiry.

      Similar story for post grad, on the basis of where you did it from.

      Get set for many days of visits, lots of travelling and a hole in your pocket too :P

    1. Thank you Prasad :) Unfortunately, if the college does not have the seat number, then its difficult to apply for the duplicate. You can check for places like old emails, SMS in a phone that she used at that time, etc. to see if you mentioned it anywhere. You can also try her graduation college(if she pursued it). They also have records of students.

  51. I passed out from my school in March 2008. I collected only the statement of marks certificate, and forgot about the passing certificate (As I was never asked for it in later admissions)
    Now, from where should I collect the original SSC Passing certificate? will it still be at my school or should I get it from board office at Vashi?

      You can try your luck at your school, they might have preserved the certificate. If not, you always have the option of going to the Board for a duplicate.

      P.S: The duplicate certificate is made of very low quality paper, with hand written marks and details. The original is far better :P

Needed to know if I should make 2 separate affidavits for both since my 10th and 12th were done from 2 different school/college. Or is it fine to submit one affidavit requesting to get both certificates. Thanks

    Thanks Ameya for such an useful information. I have recently lost my SSC and HSC marksheet and certificate both but I have the scan copy of it.
    I do not have school leaving certificate or hall ticket any more.Does Scan copy contains the information of seat number .
    I have passed my SSC in year 2000 and HSC in 2002 from Mumbai University.

    Once I get the duplicate do I need to again go and get it attested from the school and college or does it come attested from the Mumbai University.

    Will this duplicate copies of marksheets will act as originals.

      I'll answer those questions one by one.

      1) Yes, a scanned copy will have the seat number.

      2) You passed SSC and HSC from Mumbai division of Maharashtra Board, not MU :P

      3) The duplicate marksheets do not need any visit to the school. However, the passing certificate has a 'School stamp and sign' section on the back side, for which you will have to go to your alma mater.

      4)Yes, the duplicate copies are fully authorised original documents.

      Glad that I could help :D

      As far as I know, a police NC is not needed. However, there is some police documentation required if you lose your marksheet within the first 3 months of receipt. Just check about that from the Board officials, if needed.

  60. hi frndz,.. on june 19th i had been to the maharastra board office at vashi.. i had lost my hsc passing certificate..
    the procedure is smooth..
    jst as mentioned above-
    1.)go there at the board office nd ask the watchman ..they are very well mannered and cooperative ..hey will tell u to go to the respective window,there u buy the 2 rs form nd then it is mentioned in the form to submit a affidavit on a stamp paper mentioning the details as mentioned above.. the advocate you visit will e having the format need not worry..wt u need is get a letter from your colg nd den viistthe board .. nd advocates you can get aplenty in vashi.. so u can submit the form on the day itself..
